# Clinic websites that answer the question first

Reviewed 17 October 2026. Canonical page: https://uxpro.ca/industries/clinics

What their customers come to the site to do:

1. Check the clinic treats this, before calling
2. Book a first visit from a phone
3. Know what to bring, and where to park

**From $3,500 CAD per project, plus HST**

## What should a clinic website in Ontario include?

A page per service at the level patients search, your booking tool wired in above the fold, fees and insurance handled plainly, practitioner bios with registration numbers, and an accessible contact form that never collects health details. Personal health information belongs in your practice-management system under PHIPA, not in a web form or an inbox.

| Fact | Value |
|---|---|
| Typical timeline | Typically four to six weeks |
| Typical size | A custom site of five to ten pages |
| Booking | Your tool, wired in above the fold |
| Health information in forms | None. It goes to your system |
| Compliance | PHIPA intake review, AODA pass |
| What the clinic supplies | Fees, coverage, bios, policies |
| Price | From $3,500 CAD + HST |
| Plan fit | Essentials, $250 a month, or Growth |

## What this sector changes about the build.

The constraints on the right are the pages the site needs because of them.

Pages this site needs:

- One page per service: At the level patients search, with what it treats, what it costs and what to expect.
- Book an appointment: Your booking tool, above the fold, with the phone number as an equal option.
- Fees, coverage and insurance: What is covered, what is not, direct billing, and what a first visit costs.
- Practitioner bios: Registration numbers, training, languages spoken and what each person treats.
- New patient information: What to bring, how long the first visit takes, parking, accessibility and the cancellation policy.
- Privacy and your health information: What the site collects, what it never collects, and who your privacy contact is.

### A web form is the wrong place for health information

PHIPA governs how a health information custodian collects, uses and protects personal health information in Ontario. A general contact form has no business collecting symptoms, diagnoses or a health card number. We keep the form to a name, a way to reach you and a reason for the visit, and send the clinical detail to your booking or practice-management system, which is built to hold it.

- No symptoms, diagnoses or health card numbers in a web form
- Clinical intake handled in your practice-management system
- A stated retention and deletion path for every field
- Email used to notify, never to carry health detail

### Booking belongs to your booking tool

Jane, Cliniko, a dental system or a hospital portal: whichever you use, it owns the appointment and the data. We put it where a patient on a phone will find it, keep it fast, and stop the site from loading a heavy embed on every page. We do not rebuild a booking engine, and we do not put a scheduler in front of a form.

- Booking link or embed above the fold
- Loaded only on the pages that need it
- Phone as an equal option, tap to call
- Cancellation and no-show policy stated plainly

### Scope of practice, written honestly

Your college sets what you may claim and how you may describe treatment. We write to it: what the service is, what it is for, what it does not treat, and when to see someone else. That is also the copy that ranks, because it answers the question a worried person typed.

- Service pages at the level patients search
- No outcome guarantees or before-and-after claims
- Practitioner registration numbers shown
- Referral and "see your doctor" language where it belongs

### Accessibility is not optional in a clinic

Your patients include people using a screen reader, people with low vision and people with a tremor on a phone. We check keyboard paths, contrast, target sizes and form labels against WCAG 2.2 AA before launch, which is also what AODA points at.

## What we can show a buyer in this sector.

A clinic study: a dental site and reception screen drawn around a nervous patient's first visit.

- **[Ellery Quiet Dental](https://uxpro.ca/work/ellery-quiet-dental)** (Dental clinic · concept site · Concept): A first visit explained minute by minute, prices for five procedures, and a booking that asks for no health details before the visit. Ellery Quiet Dental — the framed price card and the only message before the visit · studio concept

Ellery Quiet Dental is a concept: no clinic commissioned it and nothing was measured.

## The compliance work is a line item, not a paragraph.

We build to PHIPA-aware defaults and document what each field does. Your privacy officer signs it off, and we make that review short by writing it down first.

Named deliverables:

- [PHIPA intake review](https://uxpro.ca/services/compliance/phipa-forms): Every field on every form: what it collects, where it goes, who can see it, how long it is kept, and whether it belongs in a web form at all. Delivered as a written table your privacy officer can sign.
- Booking tool assessment: Where the appointment data lives, what the embed loads, and what the site stores. The answer should be nothing.
- [AODA and WCAG 2.2 AA pass](https://uxpro.ca/services/compliance/aoda): Keyboard path, contrast, heading order, focus states and form labels checked before launch, and again on every care-plan review.

## What a build for this sector costs.

How we price it: **From $3,500 CAD per project, plus HST.** A custom site of five to ten pages, from $3,500, is where most clinics land. The PHIPA intake review is a named line item on the quote, so you can see what it costs and what it produces.

Add-ons: extra article $220 · extra page $450 · hourly $120. All figures are CAD and exclude tax.

Month-to-month. Cancel any time. No annual pricing exists.

Changes the price:

- How many services need their own page.
- Which booking tool you use, and whether it needs an embed or a link.
- Whether fees and coverage are published, which takes longer to agree than to build.
- How many practitioners and locations there are.

Not included:

- Clinical or legal advice on PHIPA. We design to it; your privacy officer signs off.
- Practice-management software licences and configuration.
- A patient portal or secure messaging, unless quoted separately.
- Medical photography and video.

## Ontario, from Kitchener.

Waterloo Region gets in-person meetings. Everywhere else runs on a call, a written copy brief and a staging link, which is the same work.

- Kitchener: Home base. We meet in person.
- Waterloo: In person.
- Cambridge: In person.
- Guelph: In person, by arrangement.
- Toronto and the GTA: On a call, or in person on request.
- The rest of Ontario: On a call. Distance changes nothing.

Location pages:

- [Kitchener-Waterloo](https://uxpro.ca/locations/kitchener-waterloo): Home base. Websites, product, brand and decks, with in-person meetings across the region.
- [Waterloo](https://uxpro.ca/locations/waterloo): Product and app UX, prototypes and decks for founders and product teams. In person.
- [Cambridge](https://uxpro.ca/locations/cambridge): Trades, clinics and local services. Map-pack work and in-person meetings.
- [Guelph](https://uxpro.ca/locations/guelph): Practices, family services and research founders. In person by arrangement.
- [Toronto and the GTA](https://uxpro.ca/locations/toronto-gta): Toronto, Mississauga, Brampton, Markham and beyond. Mostly remote, in person when it matters.
- [Across Ontario](https://uxpro.ca/locations/ontario): Province-wide, with Hamilton and London sections. Multi-location firms and Ontario rules.
- [Across Canada, remotely](https://uxpro.ca/locations/canada): Remote work across Canada, and for US companies. Time zones, sales tax and provincial rules.

## What this sector asks before booking a call.

### Can our website form collect symptoms or a health card number?

It should not. Under PHIPA that is personal health information, and a general web form with email notification is the wrong place for it. Keep the form to a name, contact details and a reason for the visit, and let your booking or practice-management system take the clinical detail.

### Which booking tool do you work with?

Whichever one you already use. Jane, Cliniko, dental systems and hospital portals all work the same way from the site's point of view: a link or an embed, placed where a patient on a phone will find it, loaded only on the pages that need it.

### How much does a clinic website cost in Canada?

From $3,500 CAD plus HST for a five to ten page clinic site, and from $7,500 for a full build when many services and practitioners need their own page. We quote one number before we start, with the PHIPA pass shown as its own line item.

### Will the site be accessible to patients using assistive technology?

That is the AODA and WCAG 2.2 AA pass. We check the keyboard path, colour contrast, target sizes, focus states, heading order and form labels before launch, then again at every care-plan review. Known gaps get written down rather than hidden.

### Can we publish patient reviews?

Your college's advertising rules decide that, and several restrict testimonials about treatment outcomes. We keep the site to information a patient needs and point to your public Google profile instead, where reviews sit with the platform rather than with you.
