# Daycare and childcare websites

Reviewed 17 October 2026. Canonical page: https://uxpro.ca/industries/daycares

What their customers come to the site to do:

1. Check for a space in the right age group
2. Book a tour of the centre
3. Read the policies before applying

**From $1,500 CAD per project, plus HST**

## What do parents look for on a daycare website?

Five things, quickly: whether you are licensed, your hours, the age groups and ratios, what it costs including the CWELCC reduction, and whether a spot exists. Then photos of the actual rooms, your staff qualifications, the daily routine and the food. A waitlist form asking the child's birth month and preferred start date is what turns the visit into an enquiry.

| Fact | Value |
|---|---|
| Typical timeline | Typically two to three weeks for one page; typically four to six weeks for five to ten |
| Typical size | One landing page, built around a single conversion, or a custom site of five to ten pages |
| Waitlist form | 6 fields, including start month |
| Fees | Daily rate, CWELCC reduction, subsidy path |
| Photos | Only with written consent, swappable in minutes |
| What you supply | Licence, ratios, fees, routine, policies |
| Price | From $1,500 CAD + HST |
| Plan fit | Essentials, $250 a month |

## What this sector changes about the build.

The constraints on the right are the pages the site needs because of them.

Pages this site needs:

- Programmes by age group: Infant, toddler, preschool, before and after school. Ratios and capacity each.
- Fees, CWELCC and subsidy: The daily rate, the reduced fee, and the municipal subsidy path.
- A day here: The routine hour by hour, meals and snacks, nap time, and outdoor play.
- Licensing and safety: Licence number, staff qualifications, first aid, and the policies parents ask about.
- The waitlist form: Six fields, including the child's birth month and the preferred start month.
- Tours and enrolment: How to book a tour, what enrolment involves, and what paperwork to expect.

### The waitlist form is the whole funnel

Parent name, contact, child's birth month, preferred start month, days needed, and whether they have a sibling enrolled. Six fields, and every one of them helps you sort the list. A generic contact form makes you phone thirty people to find out who you can actually place.

- Child's birth month, not a full birth date
- Preferred start month
- Full time, part time or specific days
- Sibling already enrolled

### Fees, subsidy and CWELCC, stated plainly

Parents arrive already confused about what they will pay. Say the daily rate, say whether you are enrolled in the CWELCC funding programme and what the reduced fee works out to, and name the municipal subsidy path. This is the page that decides whether they call you or the centre down the road.

### Licensing and safety, easy to verify

Your licence, your age groups and capacity, ratios, staff qualifications and first aid, the sick-child policy, and how you handle allergies. Parents want to verify rather than be reassured, so we link to the provincial licence record instead of just claiming it.

- Licence number and the provincial record
- Age groups, capacity and ratios
- Staff qualifications and first aid
- Sick-child, allergy and pick-up policies

### Photos of children need consent, in writing

Every photo of a child needs a signed consent from that family, and consent can be withdrawn. We build the site so photos are swappable in minutes without a developer, and we can carry the whole site on room photos and detail shots if you would rather show no faces at all.

## What we can show a buyer in this sector.

Three childcare projects: a study drawn around the waitlist a parent checks first, a site concept drawn to the sector's rules, and an identity tested on the things a centre actually prints.

- **[Russet Early Learning](https://uxpro.ca/work/russet-early-learning)** (Child care · concept site · Concept): The waitlist position by age group, updated weekly, today's menu, CWELCC explained, and a tour booking, with no identifiable children. Russet Early Learning — the four age-group shapes on the cubbies, the same as on the waitlist · studio concept
- **[Wonderhill](https://uxpro.ca/work/wonderhill-daycare)** (Daycare · site concept · Concept): A childcare site drawn to the sector's rules first: waitlist before gallery, written photo consent, and the two questions a parent asks before anything else. Concept. No client, nothing shipped, no results.
- **[Cuddle Cove](https://uxpro.ca/work/brand-archive#cuddle-cove)** (Childcare · identity · Studio work): A whale-and-wave mark with the line “where comfort meets care”, a light blue and pink palette, and the applications it was tested on: signage, print, garments and the landing page. Studio work. No centre commissioned it and nothing has been measured.

All three are self-directed. No centre commissioned any of them, and nothing about them has been measured.

## The compliance work is a line item, not a paragraph.

Childcare in Ontario is licensed under the Child Care and Early Years Act, and photo consent is the part websites usually get wrong.

Named deliverables:

- Photo consent workflow: A record of which images are cleared, an editor that lets staff swap a photo in minutes when consent is withdrawn, and a site that works with no children's faces at all.
- Licensing claims review: Licence number, age groups, capacity and ratios stated as they appear on your licence, with a link to the provincial record so parents can verify it.
- [AODA and WCAG 2.2 AA pass](https://uxpro.ca/services/compliance/aoda): Keyboard path, contrast, heading order, focus states and form labels checked before launch, and again on every care-plan review.

## What a build for this sector costs.

How we price it: **From $1,500 CAD per project, plus HST.** A custom site of five to ten pages covers a single centre. Multiple sites or locations add a page and a profile each. Our Wonderhill breakdown shows the structure we build to.

Add-ons: extra article $220 · extra page $450 · hourly $120. All figures are CAD and exclude tax.

Month-to-month. Cancel any time. No annual pricing exists.

Changes the price:

- How many age-group programmes and locations you run.
- Whether fees and the CWELCC position are published.
- Whether photos exist with consent on file, or need arranging.
- Whether the waitlist feeds a spreadsheet or childcare software.

Not included:

- Childcare management software licences.
- Photography and consent collection from families.
- Legal advice on licensing or privacy obligations.
- Ad spend.

## Ontario, from Kitchener.

Waterloo Region gets in-person meetings. Everywhere else runs on a call, a written copy brief and a staging link, which is the same work.

- Kitchener: Home base. We meet in person.
- Waterloo: In person.
- Cambridge: In person.
- Guelph: In person, by arrangement.
- Toronto and the GTA: On a call, or in person on request.
- The rest of Ontario: On a call. Distance changes nothing.

Location pages:

## What this sector asks before booking a call.

### What should a daycare website include?

Licensing, hours, age groups and ratios, fees including the CWELCC reduction, and whether spots exist. Then the daily routine, food, staff qualifications, photos of the rooms, and a waitlist form asking the child's birth month and preferred start month.

### Can we show photos of the children?

Only with written consent from each family, and consent can be withdrawn at any time. We give you an editor that swaps a photo in minutes, and we can design the whole site around room photos and detail shots if you would rather show no faces.

### Should the daily rate and the CWELCC fee be on the site?

Yes. It is the first thing parents look for, and the CWELCC reduction is confusing enough that a clear number wins the call. State the daily rate, the reduced fee and the subsidy path, and keep it current, because a stale fee is worse than none.

### How do we handle a waitlist that is already full?

Say so on the page, with the month you expect openings by age group, and keep taking the form. Parents plan six to twelve months ahead. Hiding a full waitlist loses the family who would have waited.
